We are looking for a highly organized, detail-oriented, and proactive Administrative Coordinator to join our team at SuperStaff.
This role will provide administrative and coordination support, with a primary focus on Well Reports and project documentation. The Administrative Coordinator will be responsible for requesting and collecting documents, following up on pending information, maintaining accurate records, and coordinating with internal teams to ensure reports are completed accurately and on time.
The ideal candidate has 2–4 years of administrative or coordination experience, excellent written and verbal English communication skills, strong attention to detail, and the ability to manage multiple requests, deadlines, and priorities independently.
📍 Work Location: This is an on-site position based at our office in Medellín, Ciudad del Río.
Key Responsibilities
- Coordinate administrative activities related to the preparation and completion of Well Reports.
- Request and collect required documents, information, and supporting materials, primarily through email.
- Follow up consistently on missing or pending documentation to meet deadlines.
- Maintain organized digital files, records, and documentation.
- Track document requests, submissions, pending items, and follow-ups.
- Communicate with internal teams regarding report requirements, updates, and deadlines.
- Participate in internal meetings and calls to discuss progress, clarify requirements, and coordinate next steps.
- Prepare status updates, summaries, and other internal documentation as needed.
- Perform accurate data entry and document management.
- Ensure confidential and appropriate handling of project and client information.
- Provide general administrative and coordination support to the team.
- Support other administrative and operational tasks as required.
Requirements
- 2–4 years of experience in an administrative, coordinator, document support, or similar role.
- Strong English communication skills, both written and verbal.
- Experience writing professional emails and following up with different stakeholders to obtain information or documentation.
- Comfortable participating in meetings and internal calls in English.
- Excellent organizational and time-management skills.
- Strong attention to detail and accuracy.
- Ability to manage multiple requests, priorities, and deadlines simultaneously.
- Proficiency with Microsoft Office Suite and Google Workspace.
- Strong interpersonal and collaboration skills.
- Ability to work independently with minimal supervision.
- Ability to maintain organized documentation and accurately track information.
Preferred Qualifications
- Experience supporting environmental, construction, engineering, drilling, or field service teams.
- Experience with report preparation, document tracking, or compliance-related administrative tasks.
- Experience maintaining digital filing systems, document logs, or tracking spreadsheets.
- Previous experience in a fast-paced operations, project coordination, or administrative support environment.
- Familiarity with documentation-heavy workflows or project-based operations.
Education
- Bachelor's degree in Business Administration, Communications, Management, Environmental Studies, or a related field is preferred.
- Additional training in administrative support, records management, or project coordination is a plus.
Benefits
- Salary: $5,000,000 COP
- Contract: Indefinite Term Contract (Contrato a término indefinido).
- Schedule: Monday to Friday, office hours.
