Our partner is looking for an Associate/Senior Associate, Grants & Contracts based in United States. This role provides broad exposure to the operational and financial processes that help global health programs move from funding to implementation. You will support the full grants and contracts lifecycle, from procurement and agreement development through execution, monitoring, and closeout. The position combines contract administration, systems management, financial coordination, reporting support, and cross-functional collaboration. You will work closely with program teams, consultants, subcontractors, and internal stakeholders to keep agreements accurate, compliant, and on schedule. Strong organization and attention to detail will be essential as you manage records, invoices, deadlines, documentation, and competing priorities. The role is well suited to someone who is curious, service-oriented, adaptable, and interested in building a career in global health without requiring deep technical expertise in vaccines. This is a fully remote U.S. opportunity offering a salary range of $60,000–$80,000, with comprehensive benefits and the flexibility of working from anywhere in the United States.

As an Associate/Senior Associate, Grants & Contracts, you will support the administration and continuous improvement of grants and contracts processes across a varied portfolio. You will help maintain reliable systems, coordinate contract activities, support financial and reporting requirements, and provide responsive guidance to internal and external stakeholders. Support the development, maintenance, and improvement of grants and contracts systems and processes. Maintain accurate and up-to-date records in platforms such as Smartsheet, Salesforce, and related systems. Assist with evaluating existing workflows and implementing new systems or process improvements to increase efficiency. Support the full contract lifecycle, including procurement, technical reviews and evaluations, agreement drafting, negotiations, execution, monitoring, and closeout. Prepare contract documentation, summary sheets, filing materials, and other records required for effective contract administration. Track contract deadlines, deliverables, follow-up actions, and other important milestones through completion. Assist with reviewing and processing incoming contractor and consultant invoices. Perform accurate data entry and prepare reports and analyses as requested. Provide contract-related guidance and administrative support to subcontractors, consultants, and internal staff. Support recurring funder reporting by compiling agreement, payment, deliverable, and other relevant information from grants and contracts systems. Assist program teams with reviewing budgets and planning documents to ensure alignment with contractual requirements. Contribute to broader administrative and operational initiatives as needed. Requirements The position requires strong organizational skills, attention to detail, and the ability to manage complex administrative and contractual processes independently. The Associate level is intended for professionals with at least one year of relevant experience, while the Senior Associate level requires at least four years of relevant experience. Bachelor's degree required. Associate: 1+ year of relevant experience in grants and contracts administration, business operations, project coordination, or a related field. Senior Associate: 4+ years of relevant experience in grants and contracts administration, business operations, project coordination, or a related field. Proficiency with Microsoft applications, including Excel, Outlook, PowerPoint, Teams, Word, and SharePoint. Working knowledge of Adobe Acrobat and internet-based research. Experience using Salesforce, Smartsheet, or comparable database, workflow, or project management systems is required; direct experience with Salesforce or Smartsheet is strongly preferred. Excellent written and verbal communication skills, including active listening and professional diplomacy. Strong attention to detail with the ability to process information accurately and efficiently. Demonstrated problem-solving and analytical abilities, including the capacity to research issues and determine appropriate solutions. Highly organized, dependable, and able to prioritize competing demands while meeting deadlines in a fast-paced environment. Comfortable working independently while collaborating effectively with colleagues across different functions and geographic locations. Strong interpersonal skills and the ability to build productive relationships with internal and external stakeholders. Adaptable and receptive to feedback, with the ability to adjust plans and actions when circumstances change. Strong service orientation and a collaborative approach to supporting colleagues and program teams. Genuine interest in contributing to global health and mission-driven work. Must be authorized to work in the United States without employer sponsorship.
