This position is listed on behalf of a partner company, who manages all applications and next steps. Our partner is looking for a Bookkeeper and Administrative Assistant for a Construction Company based in Canada. This part-time, home-based role combines bookkeeping expertise with day-to-day administrative support in a residential construction environment. You’ll play an important role in keeping financial records accurate, organized, and up to date across multiple projects. Your responsibilities will span accounts payable, accounts receivable, reconciliations, job costing, invoicing, and monthly financial reporting. You’ll also support the owner by managing correspondence, calendars, digital files, and other administrative priorities. The role requires strong attention to detail, sound accounting knowledge, and the ability to work independently while maintaining clear communication. You’ll collaborate with clients, vendors, subcontractors, and internal stakeholders to help ensure smooth financial and administrative operations. Bookkeeping: Record daily financial transactions in QuickBooks Online or the designated accounting software, including expenses, deposits, vendor bills, and other relevant entries. Bank & credit card reconciliation: Reconcile bank and credit card accounts on a monthly basis, investigate discrepancies, and maintain accurate financial records. Accounts payable: Enter subcontractor and supplier invoices, monitor payment due dates, and prepare payment runs for approval. Accounts receivable: Prepare and send client invoices and progress billings, monitor outstanding balances, and follow up on overdue payments when required. Job costing: Code expenses accurately to the appropriate job or project to support reliable project-level cost tracking and financial visibility. Financial reporting: Prepare monthly reports such as profit and loss statements, accounts receivable and payable aging reports, and job cost summaries for management review. Administrative support: Manage the owner's inbox and calendar, identify priority items, and help ensure important communications and tasks are addressed promptly. Document management: Maintain well-organized digital files for contracts, permits, invoices, project documentation, and other business records. Communication & coordination: Handle routine correspondence with vendors and clients, respond to inquiries, complete data entry and document preparation, and assist with ad hoc administrative tasks. Requirements Accounting experience: Demonstrated experience with bookkeeping, including accounts payable, accounts receivable, bank and credit card reconciliations, and month-end close activities. Accounting software: Proficiency in QuickBooks Online or comparable accounting software, with the ability to manage transactions and financial records accurately. Construction/job costing knowledge: Experience allocating expenses by job or project to support accurate job costing and project financial tracking. Attention to detail: Strong numerical accuracy, organization, and attention to detail, with a methodical approach to financial and administrative work. Communication: Excellent written and verbal English skills for professional communication with clients, vendors, subcontractors, and the owner. French-English support: Ability to use AI tools effectively to support accurate translation and communication between French and English. Administrative skills: Experience managing email inboxes, calendars, digital files, and routine administrative workflows. Productivity tools: Proficiency in Google Workspace and/or Microsoft Office, particularly Excel. Home office setup: A reliable home working environment with a fully functioning headset and webcam, stable internet access of approximately 5–15 Mbps, and an up-to-date computer running at least Windows 8 or Mac OS X. Reliability: Ability to work from a quiet, distraction-free environment and maintain a backup plan for potential power outages or internet disruptions during scheduled working hours. Availability: Commitment to a part-time schedule of four days per week, approximately 5–8 hours per day, including at least three weekdays aligned with Montreal business hours for correspondence.
