Executive Calendar Management and Meeting Readiness Manage complex calendars for one or more leaders, balancing customer and partner engagements, business reviews, people leadership, travel, and protected focus time. Apply knowledge of leader preferences and SDP priorities to evaluate requests, resolve conflicts, identify delegates, and make informed recommendations. Ensure leaders are fully prepared by coordinating participants, rooms, technology, agendas, pre-reads, briefing materials, and follow-up. Partner with Chiefs of Staff, Business Managers, and Business Support peers to align calendars across the Area and ATUs, while handling sensitive or ambiguous situations with discretion. Coordinate transportation, lodging, security, group arrangements, agendas, briefing materials, local stakeholders, and clear expectations for each destination. Ensure required travel documentation and policy compliance, including use of the relevant U.S. Travel Tax Tool, and share policy guidance with less experienced colleagues. Manage vendor and supplier relationships as needed, including ensuring that required financial setup and processing steps are completed. Support equipment, inventory, supply, and software-license planning; provide forecasts and recommendations; and serve as an interim approver when formally delegated. Own end-to-end planning for leadership offsites, all-hands meetings, executive engagements, customer or partner events, recognition moments, and team experience activities. Develop workback schedules, checkpoints, budgets, supplier plans, communications, logistics, attendee experiences, and contingency plans that support the intended event outcomes. Serve as the primary event contact, delegate tactical work as appropriate, resolve preparatory setbacks, and provide on-site support when needed. Lead post-event closeout by tracking attendance and outcomes, distributing materials, closing actions, and capturing lessons that improve future events. Lead by example through professionalism, executive presence, composure, sound judgment, and constructive self-reflection during complex situations. Participate actively in the Business Support community, develop and share effective practices, and contribute insights that strengthen the discipline. Mentor, onboard, and train less experienced Business Support colleagues, and participate in Business Support interviews when requested. Support team building, inclusive culture, and continuous learning while identifying meaningful growth opportunities for self and others. 5+ years administrative, business support, or customer service experience in an environment with an emphasis on scheduling meetings/events, travel management, and administration work for executive/upper level management. Bachelor's Degree in relevant field (e.g., Business Administration, Human Resources [HR], Marketing, Communications, Psychology, Sociology) OR equivalent experience. 2+ years experience serving as mentor to others. 3+ years experience reviewing and managing administrative budgets (e.g., for events, morale, travel, training). Demonstrated experience providing executive-level administrative or business support in a complex, highly matrixed organization. Experience managing complex calendars, meeting logistics, executive travel, and events with consistently high attention to detail. Proven ability to manage multiple priorities and projects simultaneously, anticipate needs, and deliver against changing deadlines. Demonsrrated written and verbal communication skills, with the ability to engage confidently and appropriately with executives and diverse audiences. Sound judgment, discretion, integrity, and composure when handling confidential information or navigating ambiguous situations. Collaboration and influence skills, including the ability to build trusted relationships and drive follow-through without direct authority. Ability to work effectively across time zones, provide periodic support outside standard business hours, and travel when business needs require it. Experience supporting multiple General Manager-level or executive leaders and coordinating across an extended leadership team. Experience in a sales, customer-facing, technology, cloud, software, platform, or digital-native business environment. Familiarity with rhythm-of-business operations, budget and expense processes, headcount management, procurement, recruiting, or executive onboarding. Experience mentoring Business Support professionals, sharing effective practices, or leading process improvements across a support community.
