The Future of Life Institute (FLI) (FLI) is hiring a Special Projects Manager for its Communications Team. The role will focus on ideating and driving forward FLI’s digital projects, from campaign microsites and event identities to international contests.

The successful candidate will have a strong project management background and experience in the creative digital product space, with the ability to turn big ideas into shipped work.

The Special Projects Manager will report directly to the Director of Communications.

About The Future Of Life Institute

FLI educates and engages lawmakers, key stakeholders, and the general public about transformative technologies and their implications. It advocates for policies and approaches that mitigate catastrophic risks while advancing positive futures for humanity.

Founded in 2014, FLI is an independent non-profit working to steer transformative technology towards benefiting life and away from extreme large-scale risks. Its work includes grantmaking, educational outreach, and policy engagement.

FLI is a largely virtual organization, with a team of approximately 40 people distributed internationally, mostly in Europe and the US. It has four offices in Campbell, California; Brussels, Belgium; London, UK; and Washington DC. The full team meets in person twice a year.

Key responsibilities

As Special Projects Manager, the successful candidate will:

Develop briefs: Translate stakeholder requirements into clear, actionable creative and technical briefs, and push back constructively when asks are unclear, conflicting or unscoped.

Oversee project performance and progress: Work with internal and external stakeholders to define what success looks like for each project, integrate those goals into design and content strategies, and develop and execute communications projects that reflect them.

Identify, onboard and manage agencies and contractors: Identify the skill gaps required to make a project successful, then source and steer talent through web development agencies or individual freelancers.

Own quality assurance: Define what “done” looks like by reviewing deliverables against briefs, brand guidelines and accessibility standards (WCAG), running structured review rounds, and holding the final quality bar before anything ships.

Product innovation: Ideate and develop digital products to help achieve FLI’s mission and meet organizational objectives.

Run special projects: Deliver multi-month initiatives such as international creative contests end to end.

Steward brand coherence: Work with the website development agency to maintain FLI’s design system and keep high-volume output visually consistent.

Required Experience And Qualifications

Candidates should have:

  • A location in a timezone between the West Coast of the USA and the UK (UTC-8 to UTC+1).

  • Proven ability to coordinate complex, multi-stakeholder projects, including navigating competing priorities, securing alignment from senior colleagues, and turning messy input into clear direction.

  • A track record of building or significantly improving delivery processes, including intake, review, QA or approval workflows, rather than simply operating within existing processes.

  • Project management experience across design, communications and/or digital/web projects, ideally including managing external agencies.

Required Skills And Qualities

  • Sharp quality instincts and the confidence to send things back when they are not right, ideally demonstrated through a portfolio of shipped work that the candidate has quality-assured.

  • Genuine interest in FLI’s mission and the issues it works on, with the ability to represent its work credibly to agencies, judges, contest entrants and partners.

  • Calm under deadline pressure, with the ability to say no and offer alternatives.

Preferred Qualifications And Skills

The following would be advantageous:

  • Experience running participatory or multi-stakeholder projects, including contests, awards, grant rounds, festivals or similar initiatives.

  • Familiarity with website delivery, including CMS platforms and enough technical literacy to triage issues and communicate credibly with developers.

  • Working knowledge of SEO and digital audience growth, including technical and on-page fundamentals, analytics tools such as GA4 and Search Console, and how content and campaign decisions affect reach.

  • Nonprofit, policy, advocacy or campaign experience.

Salary And Benefits

The salary for the Special Projects Manager is $100,000 – $190,000 per year.

Exact compensation will vary depending on experience and geography.
