Full Job Description
Finance and Operations Provide day-to-day support for finance, procurement and invoicing processes across the EGA team. Create and follow up on purchase orders, contracts, support invoice processing and maintain accurate finance and procurement records. Support the annual budget-planning, forecasting process and budget reviews in close collaboration with the Business Operations Manager. Engage with internal teams, suppliers, consultants and law firms to help ensure smooth and consistent operational processes. Maintain team trackers, shared files, guidance materials and process documentation, and identify opportunities to simplify ways of working. Support onboarding and offboarding activities and contribute to broader team projects, events and learning activities. Support calendar management and scheduling for senior leaders, including internal and external meetings. Coordinate meeting logistics, virtual meetings, visitor arrangements and occasional business lunches or dinners. Support business travel arrangements, itineraries, travel documentation and expense submissions. Assist with Rhythm of Business activities, team meetings and operational follow-up. Provide back-up administrative support during periods of absence of the Executive Assistant Bachelor's degree or equivalent qualification in business administration, finance, accounting, management, economics or a related field. Legally authorised to work in Belgium (Legally authorised = has citizenship or has been granted a valid visa or work permit). Good numerical and analytical skills, with strong attention to detail and accuracy. Excellent organizational and time-management skills, with the ability to manage several priorities and follow through on actions. Strong written and verbal communication skills in English. A collaborative, open and inclusive working style, with sound judgment and discretion. Ability to learn quickly, work proactively and adapt in a changing international environment. French language skills (written and verbal) are a plus.
