The Housekeeping Admin is responsible for ensuring the efficient administrative operation of the Housekeeping Department onboard. The role supports the Executive Housekeeper, Assistant Executive Housekeepers, and Supervisors through accurate documentation, reporting, coordination, and communication. This position serves as the central administrative point within the department, ensuring that all records, reports, schedules, and operational data are maintained accurately and updated in a timely manner. The Housekeeping Administrator contributes to smooth daily operations, compliance, and overall guest satisfaction through structured administrative support.
Responsibilities
Provide comprehensive administrative support to the Executive Housekeeper, Assistant Executive Housekeepers, and Housekeeping Supervisors. Prepare, organize, and maintain all housekeeping documentation, logs, and records in a structured and accessible manner. Ensure all documentation is accurate, up to date, and properly filed in accordance with Company procedures and audit requirements. Maintain strict confidentiality of all departmental, operational, and crew-related information. Ensure all records and reports are completed accurately and submitted within established timelines. Support the coordination of daily housekeeping operations through effective communication and information distribution. Ensure all relevant shipboard updates, operational instructions, and notices are communicated promptly to the housekeeping team. Prepare and distribute pre-cruise operational documents, including VIP lists, special needs reports, and purchased In-Cabin Experience packages (e.g., minibars, laundry, decorations). Assist with administrative processes related to crew sign-on and sign-off. Ensure timely and accurate preparation and submission of all required reports to management. Coordinate with other departments (e.g., Guest Services, Technical, F&B) to support operational requirements. Maintain housekeeping notice boards with current, accurate, and relevant information. Log maintenance issues reported by the housekeeping team and ensure proper submission. Monitor office supply levels and raise requisitions through the Housekeeping Storekeeper as needed. Attend daily briefings and support effective communication flow within the department. Proactively identify and suggest improvements to administrative processes and operational efficiency. Assign crew members for Bahkoor burning duties on turnaround days and track consumption of oud wood on a per-cruise basis. Assist the Executive Housekeeper in compiling End-of-Cruise reports. Compile and submit the Damaged Luggage Report for each turnaround day. Generate the Housekeeping Guest Service Request (Otalio) log and submit it to the Executive Housekeeper on each turnaround day. Perform any additional duties as assigned by the Executive Housekeeper or Assistant Executive Housekeeper.
Requirements
Experience: Previous experience in administrative roles, preferably within hospitality or cruise industry. Language Skills: Fluent in English (spoken and written); additional languages are an advantage. Organizational Skills: Strong ability to manage multiple tasks, prioritize workload, and maintain structured documentation. Attention to Detail: High level of accuracy in handling records, reports, and administrative processes. Communication Skills: Clear and professional communication with all levels of staff and departments. System Proficiency: Comfortable working with digital systems, reporting tools, and office software. Problem-Solving: Ability to identify issues and ensure timely resolution through proper coordination. Adaptability: Ability to perform effectively in a fast-paced, dynamic shipboard environment. Team Collaboration: Strong teamwork skills, supporting coordination across the department and with other teams. Customer Awareness: Understanding of how administrative accuracy and efficiency impact guest satisfaction. Professional Conduct: Maintains integrity, discretion, and confidentiality at all times.
Documentation Requirements Valid Passport Valid Seaman’s Book STCW Certification Documentation related to the position
Contract length: 6 months on/ 2 months off Embarkation as soon as possible.
