Full job description

This position is listed on behalf of a partner company, who manages all applications and next steps. Our partner is looking for a Legal Assistant | Legal Assistant and Client Intake Specialist based in United States. This role combines legal administrative support with client intake responsibilities in a professional and client-focused environment. You will serve as an important first point of contact for prospective clients while providing attorneys and legal teams with accurate, well-organized support. The position requires thoughtful communication, active listening, and the ability to gather sensitive information from individuals facing challenging circumstances. You will conduct detailed intake conversations, identify relevant facts, and prepare concise summaries, legal memos, and supporting documentation. The role offers an opportunity to develop broader legal knowledge while taking on additional case management, document preparation, and administrative responsibilities. Success requires strong organization, attention to detail, confidentiality, and the ability to transition smoothly between client-facing and legal support activities. This is a strong opportunity for a bilingual professional who wants to contribute meaningfully to legal services while developing long-term expertise in a remote environment.

Conduct approximately 5 to 15 initial intake calls with prospective clients each day, generally lasting 20 to 30 minutes, while communicating with professionalism, empathy, patience, and respect. Gather detailed information during intake conversations, ask appropriate follow-up questions, identify relevant facts, and recognize circumstances that may require additional attorney review. Accurately document information obtained from prospective clients and maintain organized, complete, and confidential case records. Serve as a positive first point of contact by ensuring prospective clients feel heard, supported, and treated with appropriate professionalism and compassion. Return calls and conduct follow-ups with prospective clients as needed, ensuring timely communication throughout the intake process. Prepare concise legal memos, summaries, and other written materials that clearly communicate relevant information to attorneys and the broader legal team. Assist with document preparation, editing, formatting, PDF manipulation, and other legal documentation requirements. Organize and maintain case-related information, files, and documentation using document management and business systems. Provide general legal and administrative support to attorneys and assist with additional legal projects as knowledge of the organization and its processes develops. Learn and independently use new software, document management platforms, and business systems to support efficient legal operations. Maintain strict accuracy, confidentiality, and discretion when handling sensitive client, case, and legal information. Requirements Bilingual English and Spanish proficiency is required, with excellent spoken and written English and the ability to communicate confidently and professionally with clients and legal professionals. Previous experience in a legal, professional services, client intake, case management, or similar environment is preferred, with Legal Assistant, Paralegal, Legal Intake, or Case Management experience considered an advantage. Traditional paralegal experience is not required, but familiarity with civil litigation or federal civil rights matters is a plus. Demonstrated ability to transition effectively between client-facing intake responsibilities, legal support activities, administrative tasks, and case-related documentation. Strong active listening, questioning, critical thinking, and information-gathering skills, with the ability to understand complex information and identify details that may require clarification or further review. Excellent written communication skills, including the ability to prepare clear, concise summaries, legal memos, and other professional materials. Strong interpersonal and relationship-building skills, with the ability to communicate empathetically and patiently while maintaining appropriate professional boundaries. High attention to detail and accuracy, particularly when documenting sensitive information and managing a high volume of daily interactions. Strong organizational and time management skills, with the ability to manage multiple responsibilities independently while maintaining consistent quality. Strong technology proficiency and the ability to learn new systems and processes independently, including Microsoft Outlook, RingCentral, Microsoft SharePoint, Adobe, Adobe Acrobat, and general business and document management platforms. Dependable, professional, polished, proactive, and adaptable, with a strong sense of ownership and accountability. Ability to work with confidential and sensitive information with discretion and professionalism, including interactions with individuals who may have experienced significant loss or difficult circumstances. Willingness to continuously learn new legal processes, systems, and support responsibilities as the role evolves. Benefits Monthly compensation of $1,150–$1,220 USD. Remote work opportunity supporting a U.S.-based legal environment. Opportunity to develop experience across client intake, legal support, case management, and legal documentation. Exposure to federal civil rights matters and the opportunity to contribute to work involving clients in challenging circumstances. Opportunity to expand responsibilities and legal knowledge as familiarity with the team’s processes and systems develops. Use of professional technology and document management tools, including Microsoft Outlook, RingCentral, SharePoint, Adobe, and Adobe Acrobat. Structured multi-stage application process with recruiter guidance throughout the hiring journey.
