Our partner is looking for a Manager, Administrative Operations & Support Services based in United States. The Manager, Administrative Operations & Support Services will lead a centralized team responsible for delivering high-quality administrative support across a growing enterprise. This player/coach role combines people leadership, operational oversight, and hands-on execution across multiple support functions. You will establish service standards, improve workflows, and ensure administrative capacity aligns with the needs of consulting teams, executives, and shared services leaders. The role spans contracting, document production, research, executive calendaring, travel, billing support, and broader administrative operations. You will work closely with HR, Finance, Legal, consulting teams, and senior stakeholders to improve efficiency, communication, and service quality. This is an opportunity to build scalable Centers of Excellence while developing a high-performing, responsive, and service-oriented team.

Recruit, onboard, coach, develop, and manage a centralized team of administrative operations professionals supporting enterprise-wide needs. Establish operating standards, service-level agreements, quality benchmarks, and performance measures across administrative support functions. Monitor service levels, workload, timeliness, quality, and team capacity while serving as an escalation point for cross-functional resourcing and prioritization. Personally execute complex or high-priority work when volume, urgency, or quality requirements call for hands-on support. Develop Center of Excellence structures, including team rosters, RACI matrices, workstream coverage, processes, and operating practices. Partner with consulting teams and enterprise leaders to align administrative support capacity with engagement requirements and reduce administrative burdens. Collaborate with HR and operations leadership on staffing, policies, organizational design, and team development. Represent administrative operations in enterprise initiatives, committees, and cross-functional projects. Oversee the Contracting COE, ensuring Statements of Work are tracked through negotiation, signature, completion, and accurate client and engagement setup. Partner with Legal, Finance, and business stakeholders to support contract compliance and develop standardized templates, approval workflows, repositories, and scalable contracting processes. Oversee document production, including the preparation, formatting, editing, and quality review of proposals, reports, presentations, contracts, and correspondence. Maintain document management standards covering branding, formatting, version control, naming conventions, and template libraries. Manage centralized research services providing business intelligence, competitive information, and industry analysis to consultants and shared services leaders. Oversee executive and senior-leader calendar management, scheduling protocols, priority-setting frameworks, expense processing, billing coordination, and related administrative activities. Identify and implement process, technology, and staffing improvements that increase efficiency, consistency, scalability, and service quality. Promote a culture of accountability, responsiveness, continuous improvement, inclusion, and proactive service while maintaining discretion with confidential information. Requirements: Bachelor's degree in Business Administration or a related field; equivalent professional experience may be considered. 7+ years of progressive experience in administrative services, operations, contracting, client services, or a combination of related disciplines. 5+ years of direct people-management experience, ideally within a professional services or Center of Excellence environment. Demonstrated ability to operate as a player/coach, balancing hands-on execution with delegation, team development, and process improvement. Proficiency with Microsoft 365 and experience using client contracting platforms, ERP systems, spend management tools, or comparable enterprise technologies. Ability to adopt and apply data-driven productivity and AI-enabled tools to improve drafting, editing, research, analysis, and operational workflows. Strong project management skills, with the ability to manage competing priorities across multiple service lines and deliver against deadlines. Exceptional written and verbal communication skills, including experience preparing and reviewing contracts and executive-level materials. Strong analytical and process-improvement capabilities, with a focus on service optimization, scalability, and operational efficiency. Skilled in stakeholder management, strategic questioning, consultative problem-solving, and cross-functional collaboration. Ability to adapt to change and foster an inclusive, collaborative environment within a growing and distributed team. Strong service orientation, sound judgment, and discretion when handling sensitive and confidential information. Experience managing dynamic, distributed teams is preferred. Experience in consulting or healthcare-related environments is an asset. Ability to work remotely or in a hybrid environment with less than 10% travel required for on-site assets and team meetings.
