Job Summary

Location: Huntsville, AL Area – Primarily Remote Schedule: Part-Time, approximately 20 hours per week Work Arrangement: Flexible/Remote with occasional in-person support

Pay: $22-$24 per hour

Aetos Systems, Inc. is seeking a highly organized, creative, and dependable Part-Time Communications & Administrative Coordinator to support a variety of corporate communications, marketing, event coordination, and administrative activities.

This is an ideal opportunity for someone who enjoys variety and likes taking projects from an idea through completion. One day may involve developing content for a company communication, while another may include coordinating logistics for an upcoming conference, updating marketing materials, organizing information, or completing administrative tasks.

The position offers significant flexibility in both schedule and work location. Most work can be performed remotely, although candidates should be located in the Huntsville area and available for occasional in-person support at our office or local events. Employees are also welcome to work from the Aetos office when desired.

Because of the flexibility and independence of this position, the ideal candidate is someone who is exceptionally organized, takes initiative, communicates well, and can manage responsibilities and deadlines with minimal day-to-day oversight.

What You'll Do

Responsibilities may include:

  • Support internal and external company communications, including drafting, editing, formatting, and distributing content.
  • Coordinate and produce the company's quarterly employee newsletter.
  • Assist with social media content, campaigns, and company announcements.
  • Support the planning and coordination of conferences, recruiting events, employee activities, and other company events.
  • Coordinate event logistics, including schedules, staffing, and booth coverage, promotional materials, supplies, equipment, and branded merchandise.
  • Help ensure company marketing and communications materials remain current, accurate, and professional.
  • Coordinate employee engagement activities and company-wide programs throughout the year.
  • Assist with the development and formatting of presentations, flyers, graphics, announcements, and other communications and marketing materials.
  • Perform general administrative support, including electronic filing, document organization, data entry, maintaining records, and other project-based tasks.
  • Coordinate with employees, managers, vendors, and other stakeholders to gather information and keep projects moving.
  • Track deadlines, details, and action items to ensure assignments are completed accurately and on time.
  • Provide occasional in-person support for company meetings, events, or other activities.
  • Assist with special projects and other corporate initiatives as needed.

Preferred Qualifications

Experience or qualifications in one or more of the following areas is a plus, but not required:

  • An Associate's Degree
  • Corporate communications, marketing, or social media
  • Event or conference coordination
  • Graphic design, layout, or document formatting
  • Canva or similar design platforms
  • Adobe Acrobat Pro, including creating, editing, formatting, and organizing PDF documents
  • Newsletter development or content creation
  • Administrative or project coordination
  • Creating polished presentations, flyers, graphics, or other professional communications

Formal experience in every area is not required. We are especially interested in someone resourceful, creative, organized, comfortable figuring things out, and willing to take ownership of assignments from start to finish.

Schedule & Flexibility

This is a part-time position averaging approximately 20 hours per week. The schedule offers considerable flexibility; however, the employee must be able to meet deadlines, communicate and coordinate with team members during normal business hours when necessary, and occasionally attend meetings or events in person.

The position is primarily remote, but candidates should reside in the Huntsville, Alabama area due to occasional in-person responsibilities. Workspace at the Aetos office is also available for employees who prefer or need to work onsite.
