About the role Patient in-take coordinator Bilingual Spanish, Specialty Pharmacy provides crucial operational and sales support to pharmacy patients, the Sales team, healthcare providers, and referral networks. Serving as a primary liaison between patients, doctors, insurance providers, and internal teams, this role ensures seamless client onboarding, accurate data management, and swift care coordination. What you'll do Welcome patients to TrustRx Pharmacy: The enrollment team is the first point of contact for every patient, prescriber, and attorney who reaches us — from answering the phone and completing intake, to following up on refills and address updates. New or returning, you're the voice they hear first. Patient & Client Onboarding: Ingest and accurately record client and referral information into the internal database; maintain and update existing referral records. Customer & Referral Support: Handle heavy volume of inbound and outbound calls involving patients, physicians, attorneys, sales representatives, and insurance providers. Cross-Departmental Collaboration: Partner with internal teams, sales reps, and external vendors (e.g., dedicated FedEx account managers) to expedite patient services and resolve workflow issues. Communication & Account Tracking: Log detailed notes for all communications, share account specifications with relevant departments, and alert sales teams to account exceptions. Process Improvement: Proactively identify opportunities to optimize quality, workflow efficiency, and internal procedures to drive referral conversions. Who you are Certifications: Pharmacy Technician Certification Experience & Skills: Strong customer service background with demonstrated phone etiquette and conflict-resolution skills. Technical Proficiency: Proficiency in database management, Windows-based applications, and software support systems. Professional Competencies: Exceptional verbal and written communication, proactive problem-solving, strong multitasking skills, and acute attention to detail. Schedule Flexibility: Ability to work Monday through Friday across varying shifts. Preferred Qualifications Bilingual proficiency in Spanish and English. Working knowledge of prescription medications. Pharmacy Technician Certification, will consider those with tech in training status.
