This position is listed on behalf of a partner company, who manages all applications and next steps. Our partner is looking for a Project Coord Analyst based in the United States. This role supports the coordination and delivery of utility and infrastructure projects within a complex, highly collaborative environment. You will work closely with Project Managers, construction teams, contractors, and institutional stakeholders to keep projects organized and progressing smoothly. The position covers project scheduling, documentation, reporting, communications, site logistics, and workflow coordination across multiple project phases. You will contribute to projects involving chilled water, steam, hot water, electrical, HVAC, and renewable energy infrastructure. Your attention to detail will help maintain accurate information, timely responses, strong document control, and effective project communication. The role combines office-based coordination with regular site involvement and offers exposure to both construction administration and capital project management. It is well suited to an organized early-career professional who enjoys managing multiple priorities and supporting teams toward safe, timely, and high-quality project delivery.
Coordinate project schedules, meetings, documentation, and workflows across design, pre-construction, and construction phases. Maintain project dashboards, action logs, document control systems, and other tracking tools across multiple projects. Support Project Managers with meeting minutes, project reports, status updates, and other administrative deliverables. Assist with field coordination, including contractor access, safety requirements, site logistics, and stakeholder communications. Track submittals, Requests for Information (RFIs), design documentation, and required responses to help maintain project schedules. Prepare, distribute, organize, and archive project correspondence while maintaining accurate version control. Coordinate with institutional stakeholders regarding schedules, site access, project communications, and construction activities. Support project closeout activities, including warranty documentation, as-built records, and lessons-learned summaries. Monitor project information and follow up on outstanding actions to keep teams aligned and deadlines on track. Identify opportunities to improve project workflows, templates, reporting practices, and document-management processes. Support compliance with organizational ethics, safety, documentation, and project-management procedures. Requirements Bachelor's degree in Business, Engineering, Construction Management, or a related discipline. At least 2 years of experience in project coordination, project planning, construction administration, or a related field. Familiarity with project documentation, scheduling, reporting, and construction coordination practices. Experience with document-control or project-management platforms such as Procore, Smartsheet, SharePoint, or similar tools. Proficiency with Microsoft Office, particularly Word, Excel, PowerPoint, and Microsoft Project. Excellent organizational and multitasking abilities, with strong attention to detail and accuracy. Strong written and verbal communication skills, with the ability to coordinate effectively across diverse project teams. Strong interpersonal and stakeholder-management skills, combined with a customer-service mindset. Ability to work effectively in a fast-paced, collaborative environment while managing competing priorities. Willingness and ability to participate in regular project-site visits. Commitment to following applicable safety, ethics, and workplace policies. Ability to work in the United States without requiring employment visa sponsorship.
