Full job description

This position is listed on behalf of a partner company, who manages all applications and next steps. Our partner is looking for a Property Portfolio Manager based in South Africa. This is a hands-on remote role overseeing the day-to-day operations of a diverse property portfolio spanning residential, holiday accommodation, and commercial spaces. You will serve as the operational anchor for approximately 10 properties while supporting ongoing acquisitions and portfolio growth. Working closely with the Managing Director, you will coordinate tenants, contractors, advisers, and professional stakeholders across the UK property ecosystem. The role combines property management, compliance, maintenance coordination, acquisition support, and executive-level operational coordination. You will take ownership of workflows and ensure important property, financial, legal, and administrative actions are completed accurately and on time. A strong focus on systems, technology, automation, and AI tools will help improve efficiency and create more scalable portfolio management processes. This opportunity is well suited to an experienced, highly organized professional who is dependable, discreet, proactive, and comfortable working independently from a remote environment.

As the Property Portfolio Manager, you will take ownership of daily portfolio operations while acting as the central coordination point between internal and external stakeholders. Oversee day-to-day operations across a portfolio of approximately 10 residential, holiday accommodation, and commercial properties. Monitor rental activity, coordinate maintenance, support landlord compliance, and manage tenant-related matters. Coordinate UK-based contractors, repairs, routine inspections, property access, and other maintenance requirements. Manage professional correspondence and maintain effective communication with finance managers, mortgage brokers, insurers, solicitors, and other advisers. Coordinate the exchange of property-related financial, legal, and operational information between relevant stakeholders. Support property acquisitions from initial stages through conveyancing, legal completion, and operational onboarding. Maintain accurate property records, compliance information, key dates, and management systems. Develop and document repeatable processes that improve operational consistency and efficiency. Identify opportunities to use technology, automation, and AI tools to streamline portfolio management workflows. Coordinate remote and UK-based team members and follow up on operational action items. Work directly with the Managing Director to prioritize workflows and ensure key property activities progress effectively. Maintain a high level of discretion, professionalism, and reliability when handling sensitive property, financial, and legal information. Requirements The ideal candidate combines property or operations experience with strong organizational skills, professional communication, and the ability to independently manage multiple workflows in a remote environment. Minimum of 5 years of relevant experience in property management, executive assistance, or operations management. Excellent written and spoken English communication skills. Strong organizational and coordination abilities, with confidence communicating with tenants, contractors, solicitors, brokers, advisers, and other stakeholders. Demonstrated ability to manage an independent workload, prioritize competing tasks, and consistently follow through on commitments. Proactive, dependable, and comfortable taking ownership without requiring close supervision. Ability to work effectively from a remote home office in South Africa while coordinating with UK-based stakeholders. Strong interest in systems, technology, automation, and AI tool integration. Previous UK property management experience is desirable, particularly experience with HMOs and landlord compliance requirements. Experience supporting property acquisitions, finance or mortgage coordination, and remote team management is advantageous. Familiarity with property and business tools such as COHO, Xero, ClickUp, Microsoft 365, OneDrive, WhatsApp, SpareRoom, or OpenRent is a plus. Familiarity with AI tools such as ChatGPT or AI-based workflow agents is advantageous. Strong professional discretion and attention to detail when handling sensitive operational and financial information. Benefits Fully remote position based in South Africa. Working schedule aligned with UK business hours, approximately 09:00–15:30 UK time, Monday to Friday. Approximately 6 hours of availability per day focused on delivering agreed outcomes. Collaborative, technology-focused working environment. Opportunity to contribute to the development of more efficient and automated property portfolio management processes. Structured training provided at the start of the engagement. Exposure to UK property operations, acquisitions, compliance, finance, and professional services. Independent Contractor employment arrangement.
