This position is listed on behalf of a partner company, who manages all applications and next steps. Our partner is looking for a Proposal Manager based in the United States. This role leads the end-to-end proposal process, from reviewing RFPs and coordinating internal inputs through submission and project handoff. You will manage multiple deadlines, priorities, stakeholders, and dependencies while ensuring proposals are accurate, compliant, polished, and delivered on time. The position works closely with Sales, Estimating, Project Management, Design, Marketing, Legal, and other cross-functional teams. You will bring structure to complex information, identify risks and gaps, and help drive timely resolutions. The role also contributes to improving proposal tools, templates, documentation standards, and workflows. Success requires strong organization, communication, attention to detail, and the ability to thrive in a deadline-driven environment. Coordinate the full proposal lifecycle, from RFP intake and review through submission, award transition, and handoff to Project Management. Manage proposal timelines, milestones, priorities, dependencies, and competing deadlines across multiple active opportunities. Collaborate with Sales, Estimating, Project Management, Design, Marketing, Legal/Contract Administration, and other teams to gather information and keep proposals moving forward. Review RFPs, bid documents, customer requirements, scope information, pricing inputs, and internal approvals to ensure proposals are complete, accurate, and compliant. Identify missing information, unclear requirements, compliance concerns, scope risks, scheduling conflicts, and process gaps, and help drive appropriate resolutions. Prepare, organize, and quality-check proposal templates, bid forms, qualification packages, project profiles, customer-facing documents, and handoff materials. Maintain proposal documentation standards, including file organization, naming conventions, tagging, reusable content, and knowledge sharing. Provide proactive communication on proposal status, deadlines, risks, changes, escalations, and recommended solutions. Share best practices, reinforce proposal standards, and support training or cross-training to promote team consistency. Contribute to continuous improvement initiatives that increase proposal accuracy, efficiency, consistency, and customer experience. Use and help improve systems, tools, templates, and process resources that support proposal productivity and quality. Take ownership of assigned deliverables, follow through on commitments, escalate barriers appropriately, and consistently deliver accurate and complete work on time. Requirements: Bachelor’s degree in business, communications, marketing, project management, or a related field preferred; equivalent experience in proposals, sales support, project coordination, or operations may also be considered. Experience supporting or managing proposals, RFP responses, pre-qualification packages, bid documents, project documentation, or other deadline-driven deliverables. Strong organizational and time-management skills, with the ability to balance multiple priorities, stakeholders, deadlines, and changing requirements. Exceptional attention to detail, including the ability to review documents for accuracy, completeness, formatting, grammar, compliance, and readiness for handoff. Strong written and verbal communication skills, with the ability to clarify requirements, provide concise updates, document decisions, and communicate risks and recommendations professionally. A process-minded, solution-oriented approach with the ability to identify gaps, resolve problems, reinforce standards, and contribute to workflow improvements. Ability to share best practices, support team consistency, and help colleagues follow established proposal processes, documentation standards, tools, and templates. Proficiency with Microsoft Office and business systems used to prepare, organize, track, and maintain proposal information. Experience with Salesforce, Proposify, SharePoint, TaskRay, Briq, or similar platforms is preferred. Sound judgment, initiative, accountability, discretion, adaptability, and professionalism in a fast-paced, deadline-driven environment.
