Real Estate and Construction Project Coordinator Classification: Exempt Reports To: Real Estate and Expansion Sr. Project Manager Location: Atlanta, Date: July 2026   SUMMARY/OBJECTIVE The Real Estate & Expansion Coordinator supports the Director of Real Estate & Expansion and Senior Project Manager in the planning, coordination, and execution of real estate, construction, relocation, remodeling, and expansion initiatives across the organization. This role is responsible for maintaining project schedules, coordinating internal and external stakeholders, preparing project reporting and presentations, managing documentation, and supporting the successful execution of strategic growth initiatives. The position also provides administrative and operational support to the Real Estate & Expansion team and serves as a key liaison among contractors, vendors, landlords, and internal business partners.   The ideal candidate is highly organized, detail-oriented, and proactive, with experience supporting senior leaders in construction, facilities, development, or project management environments. This individual must be comfortable interacting with executives, contractors, vendors, architects, and business partners while managing multiple priorities in a fast-paced environment.   ESSENTIAL FUNCTIONS Project Coordination Assist with planning, coordination, and tracking of construction, facility, remodeling, relocation, and expansion projects. Maintain project schedules, timelines, milestones, and action item logs. Monitor project deliverables and follow up with responsible parties to ensure deadlines are achieved. Coordinate meetings with contractors, subcontractors, architects, engineers, landlords, and vendors. Assist in gathering and organizing project budgets, contracts, proposals, and supporting documentation. Track project status and prepare regular updates for executive leadership.   Department & Leadership Support Manage and maintain the Director's complex calendar, travel, meetings, and priorities. Coordinate executive meetings, site visits, and leadership reviews. Prepare professional correspondence, reports, presentations, and executive communications. Serve as a primary point of contact between the Director and internal/external stakeholders. Screen and prioritize communications, ensuring timely responses and follow-up. Maintain confidential information and exercise sound judgment regarding sensitive matters.   Reporting & Analytics Develop executive-level reports, scorecards, dashboards, and project updates. Create and maintain complex Excel spreadsheets used for project tracking, budgeting, and reporting. Build professional PowerPoint presentations for executive leadership meetings, board presentations, and strategic planning sessions. Analyze project data and summarize trends, risks, and opportunities for leadership review.   Administrative & Operational Support Organize and maintain project files, contracts, permits, and documentation. Coordinate travel arrangements and logistics associated with project site visits. Schedule recurring team meetings and record meeting minutes as needed. Track follow-up items and ensure accountability across project teams. Support special projects and strategic initiatives as assigned.   COMPETENCIES Exceptional organizational and planning skills Strong written and verbal communication Executive presence and professionalism Ability to maintain confidentiality Project management and coordination skills Attention to detail and accuracy Critical thinking and problem solving Ability to work independently with minimal supervision Strong relationship-building skills Time management and prioritization Ability to manage multiple competing priorities in a deadline-driven environment   REQUIRED QUALIFICATIONS Bachelor's degree preferred; equivalent combination of education and experience considered. Minimum 5 years of experience in project coordination, construction administration, real estate development, facilities management, expansion planning, or executive support within a construction, development, or operations environment. Experience supporting construction, facilities, development, expansion, or operations teams. Experience working with contractors, subcontractors, architects, engineers, and vendors. Advanced Microsoft Excel skills, including complex formulas, PivotTables, reporting, and data analysis. Advanced Microsoft PowerPoint skills with the ability to create executive and board-level presentations. Strong proficiency with Microsoft Outlook, Teams, Word, and SharePoint. Experience coordinating multiple projects simultaneously. Ability to travel occasionally to company locations and project sites. Strong proficiency with Microsoft Project (including Gantt chart development)   PREFERRED QUALIFICATIONS Experience in construction, retail expansion, facilities management, or real estate development environments. Experience supporting multi-location or national growth initiatives. Knowledge of project management methodologies and project scheduling.
