We are seeking a Senior Events Associate based in the San Antonio area!

About the Job

As a Senior Events Associate at Access, you’ll play an important role in bringing unforgettable experiences to life. This position bridges the gap between event support and program ownership, giving you the opportunity to support Event Managers on larger programs while independently managing smaller-scale events.

You’ll coordinate logistics, vendors, budgets, client communications, and on-site execution while building the skills and experience to take on greater program ownership.

What You'll Be Doing

  • Independently manage smaller-scale programs, including logistics, vendors, budgets, client communications, and on-site execution.

  • Support Event Managers with the planning and execution of larger programs across multiple markets.

  • Create and manage key event materials, including Program Briefs, Manifests, signage, checklists, and client deliverables.

  • Source and coordinate vendors, venues, and event staff while ensuring program and compliance requirements are met.

  • Build strong relationships with clients, hotel partners, venues, and preferred vendors.

  • Manage program financials, including Scopes of Work, deposits, expenses, reconciliation, and final invoicing.

  • Maintain accurate program and vendor information in Salesforce and other internal systems.

  • Balance multiple programs and shifting priorities while proactively identifying potential risks and solutions.

  • Collaborate across teams to ensure program details, timelines, and client expectations are met.

  • Support and guide Event Associates during program preparation, logistics, and on-site execution.
