This position is listed on behalf of a partner company, who manages all applications and next steps. Our partner is looking for a Wealth Management Admin based in the United States. This remote role provides essential operational support to a wealth management advisory team, helping keep client accounts accurate, organized, and moving forward. You will work closely with custodians, advisors, and clients to manage account openings, transfers, maintenance, and documentation. The position combines administrative precision with proactive follow-through in a compliance-conscious financial environment. You’ll help advisors stay focused on client relationships by managing important back-office workflows and outstanding requests. The role is primarily asynchronous and requires dependable communication, strong organization, and excellent attention to detail. It is well suited to someone who takes ownership, works independently, and enjoys being a trusted operational partner within a close-knit team.
Process and manage account-related requests through the Schwab Advisor Services platform, including new account openings, transfers, and ongoing account maintenance. Prepare, complete, and submit forms, letters of authorization, and other documentation required by custodians, advisors, and clients. Provide day-to-day administrative support to the advisory team, coordinating requests, deadlines, client meetings, and follow-up activities. Maintain accurate and organized client records, CRM information, documentation, and tracking systems. Monitor outstanding custodian and administrative requests, proactively follow up on pending items, and escalate time-sensitive issues to the appropriate advisor. Manage routine communications with clients and custodians while ensuring information is clear, accurate, and professionally presented. Support documentation and recordkeeping practices aligned with registered investment advisor requirements and internal compliance standards. Take ownership of administrative workflows from initiation through resolution, ensuring open items are consistently tracked and closed. Help maintain smooth back-office operations during periods of increased request volume while keeping advisors informed of progress and potential issues. Requirements Minimum 2 years of hands-on experience with Schwab Advisor Services as a custodian platform; this is a required qualification. Experience with LPL Financial as a custodian is strongly preferred and will be considered an advantage. Solid understanding of common wealth management account types, including individual, joint, IRA, trust, and similar accounts, along with their associated administrative processes. Proficiency with custodian portals, document management systems, and operational workflows within an RIA or broker-dealer environment. Strong written English skills and the ability to communicate effectively in client-facing and custodian correspondence. Exceptional attention to detail and accuracy when handling financial paperwork, account requests, and sensitive client information. Strong organizational and time-management skills, with the ability to manage competing priorities calmly and methodically. Self-directed and dependable, with a demonstrated ability to take ownership without requiring frequent reminders. Proactive communicator who flags issues early, provides timely updates, and follows through until requests are fully resolved. Comfortable working independently in a primarily asynchronous remote environment while maintaining reliable communication during Pacific Time business hours.
