Job Summary

The Office Coordinator is a key partner in keeping the clinic organized, compliant, and running smoothly each day. Working closely with the Clinical Director, this role provides administrative and operational support, coordinates facility and supply needs, assists with documentation and compliance activities, and serves as a responsive resource for families, staff, and internal partners.

By anticipating needs, resolving issues, and promoting a positive clinic culture, the Office Coordinator helps the clinical team stay focused on delivering high-quality care and meaningful outcomes for every child and family.

Duties/Responsibilities

  • Provides daily administrative support to the Clinical Director, assisting with day-to-day clinic operations, administrative needs, reporting, documentation, and follow-up activities.

  • Support clinic operations by coordinating facility and maintenance needs, managing inventory and supply ordering, and ensuring the clinic environment remains organized, safe, and operational.

  • Partner with the Clinical Director to maintain compliance requirements by supporting payor documentation, audits, compliance tracking, corrective action tasks, and ensuring required records and documentation are complete, accurate, and maintained according to organizational and payor standards.

  • Provide backup scheduling support and coverage as needed, utilizing standardized scheduling tools and processes. The Office Coordinator is not the primary scheduler but serves as a resource when scheduling assistance is required.

  • Serve as an administrative liaison for families, third-party agencies, staff, and internal partners by providing professional, timely, and supportive communication regarding operational and administrative needs.

  • Provide lunch coverage and operational support as needed to ensure continuity of clinic operations.

  • Support clinic culture and employee engagement initiatives by serving as a Culture Champion and promoting a positive clinic environment.

  • Collaborate with regional and clinic leadership to support additional clinics when needed (remotely) and as directed by the Regional Director of Clinical Operations (RDCO).

  • Maintain client confidentiality and privacy by adhering to HIPAA regulations and organizational policies.

  • Performs other related duties as assigned.

Knowledge, Skills & Abilities

  • Excellent verbal and written communication skills.

  • Excellent time management and organizational skills with the ability to prioritize multiple tasks in a fast-paced environment.

  • Excellent organizational skills and thrives in paying attention to details.

  • Must be detail-oriented and able to maintain confidential records and information.

  • Ability to work independently while collaborating effectively with clinic leadership and cross-functional teams.

  • Ability to identify, track, and resolve administrative and documentation discrepancies.

  • Proficient with Microsoft Office Suite or related software.

  • High school diploma or equivalent.

  • RBT Certification required and must be maintained in good standing.

  • Minimum of one (1) year of administrative, healthcare, or ABA-related experience preferred.

  • Experience supporting compliance activities, audits, documentation tracking, or payer requirements preferred.
