Job Description and Responsibilities

  • Marine Premium Calculation & Documentation: Prepare premium simulations/calculations and draft special certificates for clients using marine insurance.
  • Invoicing Management: Prepare transaction invoices, review incoming billing-related emails, and record invoice numbers in the NetSuite system.
  • Financial Coordination: Process invoice bookings with the Finance team and ensure data updates in the closing tracker are accurate.
  • Validation & Control of Insurance Policies: Review and validate policies received from the insurance company and ensure premium payments from policyholders are properly matched.
  • Distribution of Documents: Send premium invoices and insurance policies to the insured parties (clients).
  • Logistics Management: Arrange delivery of important documents (such as Letters of Indemnity/LODs or physical policies) through express courier services (JNE), including inputting data into the e-cargo system and recording receipt dates.
  • Initial Claims Reporting: Serve as the first point of contact for receiving initial claim reports from policyholders through various communication channels (WhatsApp, email, etc.).
  • Initial Validation & Analysis: Perform manual registration, review supporting documents, validate policy validity, and conduct initial analysis of the claim submission.
  • Notification to Insurance Companies: Officially notify insurance companies and submit initial claim reports through email or the insurers’ online portals.
  • Correspondence & Mediation: Maintain active, responsive, and professional communication with both policyholders and insurance companies to monitor claim progress.
  • Reporting & Data Updates: Regularly update claim statuses in internal claim reports and ensure that data in insurance portals remains synchronized and up-to-date.

Qualifications and requirements

  • Minimum education of S1 (Bachelor’s degree) in any field, preferably Insurance, Management, or Accounting.
  • Work experience in the General Insurance industry or an Insurance Broker, particularly in the Administration/Claims department.
  • Familiarity with NetSuite or similar ERP software is an added advantage.
  • Basic understanding of Marine, Property, Engineering Insurance, and other types of losses.
  • Good communication skills, attention to detail, and responsiveness in meeting client needs.
