Support pharmacovigilance activities: Review and document relevant clinical information in accordance with standard operating procedures (SOPs), program protocols, and applicable regulatory requirements. Assist with medical information requests: Respond to inquiries using approved frequently asked questions (FAQs) and contact internal or external stakeholders to obtain additional information or clarification when necessary. Conduct quality assurance checks: Review adverse event reports and source documentation to ensure completeness, accuracy, and compliance with established work instructions. Support patient assistance programs: Attach post-infusion reports and other required documentation to relevant records to meet patient support and medication safety program requirements. Coordinate with cross-functional teams: Act as a liaison between team members and other stakeholders, facilitating the timely exchange of information and helping resolve administrative issues. Manage communications and workflow: Process incoming and outgoing faxes promptly, organize daily tasks, and coordinate work schedules to accommodate different time zones and operational needs. Prioritize competing responsibilities: Adjust workloads and schedules according to program demands, support colleagues during periods of increased activity, and consistently meet deadlines. Escalate data discrepancies: Recognize unusual or incomplete information, investigate potential issues, and escalate concerns to the appropriate team members when required. Perform additional administrative duties: Take on other related responsibilities as assigned and provide shift coverage, including on-call or standby support when necessary. Requirements: Education: A high school diploma is required, with post-secondary or college-level education preferred. Training in a technical or vocational field is an asset. A diploma or certificate in life sciences is particularly advantageous. Relevant experience: At least two years of experience in data entry, administration, or a similar role, with experience in medical information, clinical research, drug safety, pharmacy, or the pharmaceutical industry considered a strong asset. Experience using fax management software such as MyFax or RightFax is an advantage. Medical and pharmaceutical knowledge: Familiarity with medical terminology and pharmacovigilance processes is beneficial. Knowledge of applicable Health Canada, US FDA, EMA, and ICH pharmacovigilance guidelines is an asset. Bilingual communication: Strong written and verbal communication skills in both English and French are required for positions supporting Quebec and New Brunswick. The role may involve daily interactions with English-speaking customers, patients, and colleagues. Autonomy and accountability: Work independently with minimal supervision while following established procedures and taking responsibility for the quality of your work. Teamwork and interpersonal skills: Communicate effectively with colleagues and stakeholders, maintain positive working relationships, and contribute to shared objectives during periods of increased workload. Adaptability: Be comfortable learning new systems, adjusting to changing priorities, managing different work schedules, and taking on additional responsibilities as business needs evolve.
