Full job description
This position is listed on behalf of a partner company, who manages all applications and next steps. Our partner is looking for a Clinical Operations Specialist based in the United States. We are seeking a highly organized and proactive Clinical Operations Specialist to support the daily operations of a growing virtual healthcare organization focused on reproductive and sexual health. In this role, you will oversee clinical scheduling, provider coverage, and operational coordination across multiple states to ensure patients receive timely and reliable care. Working closely with clinical leadership and clinic managers, you will help maintain efficient workflows, resolve scheduling challenges, and strengthen the operational infrastructure behind virtual care delivery. You will manage recurring scheduling processes, payroll reviews, provider availability, and onboarding logistics while coordinating with external laboratory and healthcare technology vendors. As an early member of a developing clinical operations team, you will have the opportunity to shape processes, improve operational consistency, and contribute to scalable healthcare services. This fully remote opportunity is ideal for someone who thrives on ownership, attention to detail, cross-functional collaboration, and making healthcare operations run smoothly.
Own the clinical scheduling process on an eight-week cycle, coordinating schedule builds and ongoing updates to maintain reliable provider coverage across all operating states. Manage scheduling changes, including provider call-outs, upcoming paid time off (PTO) requests, and coverage adjustments, ensuring continuity of clinical services. Configure and maintain synchronized visit scheduling systems, including provider availability and appointment slots, while handling both routine scheduling requirements and ad hoc changes. Review and approve clinical payroll records, including base hours, additional time, and applicable pay differentials, according to established recurring schedules. Support day-to-day clinical operational escalations by following established procedures, coordinating with the Clinical Operations Senior Manager, and helping resolve issues efficiently. Coordinate onboarding logistics for new clinical hires, ensuring required operational arrangements and system access are established in a timely manner. Manage vendor configurations and operational setup for clinical team members across electronic health record (EHR) platforms, laboratory services, and related healthcare systems. Help organize and maintain the Operations On-Call rotation schedule to ensure appropriate coverage and clear responsibilities. Collaborate closely with clinic managers, clinical leadership, and cross-functional partners to communicate scheduling updates, anticipate coverage gaps, and resolve operational challenges. Maintain accurate scheduling records, payroll information, provider availability, and operational documentation to support consistency and accountability. Identify opportunities to streamline recurring processes, improve workflows, and strengthen operational procedures as the clinical operations function grows. Contribute to the development and refinement of scalable processes that support expanding clinical services, additional state coverage, and evolving healthcare delivery needs. Requirements At least 2 years of experience in clinical operations, healthcare administration, scheduling coordination, or a related operational role. Exceptional organizational skills, with the ability to manage multiple moving parts simultaneously, including provider schedules, PTO requests, call-outs, vendor configurations, and payroll processes. Demonstrated experience managing recurring, detail-intensive operational workflows with accuracy, consistency, and end-to-end ownership. Strong attention to detail and accountability, with the ability to identify potential issues early, follow through on responsibilities, and maintain reliable records. Excellent communication and relationship-building skills, with the ability to establish trust and collaborate effectively with clinic managers, clinical leaders, and cross-functional stakeholders. Strong prioritization and problem-solving abilities, particularly when managing competing demands, unexpected scheduling changes, and time-sensitive operational issues. Ability to remain calm, organized, and effective in complex healthcare environments involving multiple states, provider licensing requirements, and varying coverage rules. Comfort learning and working across scheduling platforms, electronic health record systems, laboratory vendor tools, and related healthcare technology applications. Familiarity with systems such as Elation, Quest-related workflows, and synchronized visit scheduling platforms is beneficial. Ability to work independently while following established procedures, escalating issues appropriately, and keeping relevant stakeholders informed. A proactive, adaptable mindset and enthusiasm for building, refining, and improving operational processes within a growing team. Genuine interest in healthcare operations and a commitment to supporting accessible, reliable, and patient-centered virtual care. Ability to work remotely while maintaining clear communication, dependable follow-through, and strong coordination across distributed teams. Benefits Annual salary: $75,000. Equity compensation: Standard equity package in addition to base salary. Fully remote work: Work remotely from eligible U.S. states, including California, Colorado, Illinois, Massachusetts, Maryland, New Jersey, New York, Oregon, and Washington. Flexible paid time off: Unlimited PTO to support rest, personal commitments, and work-life balance. Healthcare coverage: Medical insurance through UnitedHealthcare (UHC). Dental and vision coverage: Insurance plans provided through Guardian. Health savings options: Access to Health Savings Account (HSA) and Flexible Spending Account (FSA) plans. Professional development: Annual stipend to support learning, training, and career growth. Meaningful impact: Contribute to expanding access to reproductive and sexual healthcare through virtual care services. Growth opportunities: Join an emerging clinical operations function with opportunities to influence processes, improve systems, and help shape the team's development.
