- Department Administration & Operation
- HoD Support: Manage HoD’s calendar, business travel, expense reimbursements, and document approval workflows.
- Team Coordination: Organize department meetings, workshops, team building, and training programs; track department OPLs (Open Issues Lists).
- Office & Project Coordination: Manage office facilities (5S), stationery/supplies, fixed assets, and act as the coordinator for CIP and Associate Surveys.
- Purchasing (Key User)
- Order Management: Handle department ordering (stationery, test services, samples, tooling, etc.) and track monthly reports to ensure high GR/IR rates.
- Department Controlling
- Budget Planning: Partner with Controlling (CTG) on department Business Planning (BP) and Current Forecast (CF) for cost centers and projects.
- Financial Tracking: Monitor monthly spending, analyze EBIT status, and flag potential budget risks in advance.
Qualifications and requirements

Education: Bachelor’s degree in Business, Finance, English, or related fields.

Experience: Proven experience in department admin, assistant, or commercial roles (multinational company preferred).

Languages: Fluent in English; German is a plus.

Skills:

Proficient in MS Office; SAP skill is highly preferred.

Good to have: Power BI skills.

Competencies: Strong communication and organizational skills; basic financial knowledge with good sensitivity to numbers.
