This position is listed on behalf of a partner company, which manages all applications and next steps. Our partner is looking for an Executive Business Partner based in the United States. The Executive Business Partner will provide high-level operational and administrative support to two or three senior leaders within a leading leadership advisory environment. This role combines executive support, complex project management, client coordination, and business operations to ensure seamless day-to-day execution. You will manage competing priorities, oversee schedules and travel arrangements, coordinate client contracts and invoicing, and support business development initiatives. Acting as a trusted partner to senior consultants, you will anticipate needs, streamline workflows, and help maintain momentum across critical projects and organizational objectives. Executive support and calendar management: Provide proactive support to two or three senior leaders, managing complex calendars, coordinating internal and client meetings, resolving scheduling conflicts, and ensuring priorities are aligned with business objectives. Project management and coordination: Oversee project timelines, milestones, deliverables, and team communications. Coordinate with internal and external stakeholders, organize team calls, compile data, administer surveys, and recommend improvements to project planning and execution. Prioritization and workflow optimization: Help senior leaders manage their time effectively by recommending approaches to prioritization, delegation, organization, and workload management. Identify opportunities to streamline processes and improve operational efficiency. Client documentation and correspondence: Independently prepare and review client contracts, invoice requests, scheduling communications, report templates, and final client-ready documents, maintaining exceptional accuracy and attention to detail. Financial administration and expense management: Manage detailed client invoicing requests and expense reports, oversee audits and reconciliations, and ensure accurate billing and appropriate reimbursement. Business development support: Conduct research and provide administrative and operational support for business development initiatives, helping senior leaders prepare for client engagements and advance firm objectives. Performance tracking: Partner with senior leaders to monitor project milestones and progress against individual, team, and organizational goals. Provide timely updates and help ensure deliverables remain on track. Travel and special projects: Coordinate travel arrangements and support special projects as needed, ensuring logistics are handled efficiently and potential issues are addressed proactively. Collaboration and workplace culture: Work closely with colleagues across the organization to foster a positive, inclusive, and collaborative remote working environment built on trust, accountability, and mutual support. Requirements: At least 4 years of experience in an executive support or executive administrative role , preferably supporting multiple senior leaders in a fast-paced professional environment. A bachelor's degree is preferred. Demonstrated experience managing complex schedules, coordinating projects, preparing professional documentation, and handling financial administration, invoicing, or expense reporting. Strong organizational and project management skills, with the ability to manage multiple priorities simultaneously, meet demanding deadlines, and maintain accuracy under pressure. Excellent written and verbal communication skills, with a strong client service orientation and the ability to build effective relationships with internal and external stakeholders. Advanced proficiency in Microsoft Office applications, particularly Outlook, Word, and Excel, as well as Microsoft Teams, SharePoint, and Salesforce. A proactive, self-motivated approach, with the ability to anticipate needs, exercise sound judgment, solve problems independently, and operate effectively with minimal supervision. Exceptional attention to detail and a strong commitment to accuracy, reliability, and high-quality execution. The ability to handle confidential client information and sensitive business matters with discretion, integrity, and professionalism. A growth mindset and willingness to embrace new technologies, adopt innovative working methods, and continuously improve processes. Strong interpersonal skills and a collaborative mindset, with a commitment to diversity, inclusion, and creating a positive workplace culture.
