This position is listed on behalf of a partner company, which manages all applications and next steps. Our partner is looking for a Global Meetings & Events Senior Associate, Meeting Planning based in the United States. Support the planning and execution of complex, high-visibility corporate meetings and events in a fully remote role with nationwide responsibilities. You will manage key operational workstreams, ensuring registration, attendee communications, event technology, and logistics run smoothly from initial planning through post-event evaluation. Working closely with internal stakeholders and external suppliers, you will help deliver seamless experiences while maintaining accurate records, timelines, and budgets. You will play an important role in coordinating cross-functional teams, anticipating challenges, and resolving operational issues before they affect event delivery. By leveraging tools such as Cvent, approved AI solutions, and automation, you will contribute to more efficient and consistent event planning processes. This opportunity is ideal for an organized, service-oriented professional who thrives in a fast-paced environment and enjoys managing multiple priorities. The position offers remote flexibility, professional development opportunities, and approximately 30% travel for onsite event support, including occasional evening or weekend work.
Support assigned meetings and events throughout the full lifecycle, from planning and preparation to onsite execution and post-event closeout. Manage designated operational workstreams, communicating progress, priorities, risks, and potential solutions to program leadership and relevant stakeholders. Maintain project timelines, agendas, action logs, planning documents, and meeting materials while coordinating follow-up activities and deadlines. Build and maintain Cvent registration websites and attendee-facing event applications, ensuring information is accurate, accessible, and up to date. Oversee registration processes, attendee data, event content, agendas, communications, and reporting. Monitor attendee information, resolve routine technical issues, and use approved AI and automation tools to improve operational efficiency. Coordinate attendee communications and logistics, including travel information, accommodations, transportation, and event materials. Provide onsite support for registration, check-in, attendee services, and event logistics, escalating complex issues when necessary. Collaborate with internal teams, administrative partners, and external suppliers to coordinate deliverables and ensure seamless event execution. Partner with IT, Security, Communications, Finance, Procurement, and Legal teams to align requirements and manage cross-functional dependencies. Assist with venue selection, site visits, and venue-related planning activities. Track event budgets, supplier costs, purchase orders, and expenses, escalating discrepancies or budget variances as appropriate. Support invoice processing, financial reconciliation, and accurate maintenance of supporting documentation. Maintain complete event records and ensure planning activities comply with internal policies and applicable regulations. Gather attendee feedback and contribute to post-event evaluations to identify opportunities for improvement. Recommend process enhancements, automation opportunities, and best practices that strengthen event planning and delivery. Share knowledge with colleagues and support consistent processes and operational continuity across the team. Requirements: Meet one of the following education and experience combinations: Master’s degree. Bachelor’s degree and at least 2 years of corporate event management experience, ideally in life sciences or another highly regulated industry. Associate’s degree and at least 6 years of corporate event management experience, ideally in life sciences or another highly regulated industry. High school diploma or GED and at least 8 years of corporate event management experience, ideally in life sciences or another highly regulated industry. A bachelor’s degree in hospitality, business, communications, event management, or a related discipline is preferred; equivalent practical experience may also be considered. Approximately 2–3 years of experience in corporate or agency meeting planning, event registration, event operations, or a related field is preferred. Experience coordinating multiple workstreams, deliverables, and deadlines while maintaining strong attention to detail and accuracy. Hands-on experience building online registration websites and attendee-facing event applications; Cvent experience is strongly preferred. Strong organizational, communication, and problem-solving skills, with the ability to anticipate challenges, exercise sound judgment, and recommend practical solutions. Demonstrated initiative, accountability, resourcefulness, and adaptability when priorities or program requirements change. A collaborative working style and strong service orientation, with the discretion required to support executive and high-visibility events. Proficiency with Microsoft Office applications, particularly Excel and PowerPoint. Familiarity with project management tools, virtual and hybrid meeting platforms, and approved AI or automation tools is preferred. Willingness to travel approximately 30% of the time for onsite event support and to work occasional evenings or weekends according to program needs. Sponsorship for employment is not guaranteed; candidates should confirm eligibility and any potential sponsorship support during the hiring process. Benefits: Annual base salary: $78,616.50–$106,363.50 USD, depending on relevant skills, experience, and qualifications. Comprehensive employee benefits package, including medical, dental, and vision coverage for eligible employees and dependents. Retirement and savings plans with generous company contributions.
