The Patient Access Manager will oversee remote patient access operations across multiple healthcare client partnerships, ensuring efficient workflows and high-quality patient experiences. This leadership role manages supervisors responsible for patient registration, insurance verification, prior authorizations, and appointment scheduling. You will use operational data, performance analytics, and AI-powered tools to identify trends, improve productivity, and ensure service-level agreements are consistently met. Working closely with senior leadership and client partners, you will support new client implementations, operational launches, and continuous service improvement. You will coach and develop leaders, establish accountability, and implement scalable processes that support organizational growth. This opportunity is ideal for an experienced healthcare operations professional who combines strong people leadership with analytical thinking and a commitment to patient-centered care. Join a collaborative, fast-growing healthcare technology environment where innovation, operational excellence, and improved access to care are central to the mission.

Leadership and Team Development: Lead, coach, and develop Patient Access Supervisors and their teams. Establish clear performance expectations, promote accountability, support professional growth, and foster a collaborative culture focused on patient care and operational excellence. Performance Management and Employee Relations: Serve as the escalation point for employee performance concerns, corrective actions, performance improvement plans, and termination decisions in collaboration with Human Resources. Participate in recruiting, interviewing, and selecting supervisors and patient access staff. Patient Access Operations: Oversee patient registration, insurance verification, prior authorizations, and appointment scheduling across assigned client programs. Ensure standardized workflows, consistent service delivery, and alignment with client expectations and organizational objectives. Compliance and Quality Assurance: Maintain compliance with HIPAA, service-level agreements, client requirements, and internal policies. Ensure teams follow appropriate language access procedures and recognize when qualified medical interpreters are needed for clinical, consent-related, or other sensitive discussions. Performance Reporting and Analytics: Analyze supervisor reports and operational data to monitor service-level agreement performance, productivity, quality, and work inventory. Identify performance trends, investigate root causes, and collaborate with supervisors to develop and implement corrective action plans. Dashboard Development and AI Adoption: Use Excel and AI tools, including Claude or comparable solutions, to build and maintain performance dashboards, reporting agents, and analytical workflows that improve operational visibility and support data-driven decisions. Risk Identification and Escalation: Proactively identify service delivery risks, including workload imbalances, inventory shortages, quality concerns, and performance gaps. Develop mitigation plans and communicate material risks to leadership and client partners. Client Relationship Management: Serve as a primary operational contact for assigned clients, participate in client meetings and performance reviews, address escalated concerns, and maintain transparent communication regarding operational results and improvement opportunities. Client Implementation and Go-Live Support: Partner with leadership during new client implementations, establishing operational expectations, preparing teams, validating workflows, and supporting successful go-live execution. Help stabilize operations after launch and support the onboarding of new clients, processes, and technologies. Continuous Improvement: Identify workflow inefficiencies, implement scalable process improvements, maintain accurate operational documentation, and establish best practices that improve patient experience, productivity, and service quality. Cross-Functional Collaboration: Work closely with internal leaders, supervisors, client stakeholders, and other operational teams to coordinate priorities, resolve issues, and maintain consistent service delivery across multiple clients and service lines. Bilingual Team Support: For candidates with Spanish fluency, provide language support to supervisors and staff working with Spanish-speaking patients and assist with quality reviews of Spanish-language patient interactions. Operational Flexibility: Adapt to changing client and payer requirements, participate in virtual meetings, and provide backup scheduling-line coverage when needed, including handling high volumes of patient calls and inquiries. Requirements: Education: High school diploma or GED is required. A college degree is preferred. Leadership Experience: At least 3 years of experience leading other leaders, such as supervisors or team leads, with demonstrated success in team development, performance management, and operational accountability. Patient Access Experience: At least 1 year of direct supervisory experience in patient access, along with experience at the Patient Access Manager level or above in a hospital, physician practice, healthcare call center, or comparable patient-facing healthcare environment. Operational Expertise: Proven experience overseeing teams responsible for insurance verification, prior authorizations, and patient scheduling, with the ability to maintain efficient workflows and high service standards. Healthcare Systems Knowledge: Hands-on experience using electronic medical record (EMR) systems is required. Familiarity with Cerner, Epic, or comparable platforms is preferred. Data Analysis and Reporting: Strong Excel skills and the ability to interpret operational reports, identify trends, investigate root causes, and translate findings into practical improvement plans. AI and Technology Adaptability: Willingness to learn and integrate AI tools into daily workflows, including building dashboards, developing reporting agents, and improving operational efficiency. Experience with Claude or similar AI applications is preferred. People Management and Employee Relations: Experience handling performance concerns, corrective actions, performance improvement plans, and other employee relations matters with sound judgment and professionalism. Client and Stakeholder Management: Strong communication and relationship-building skills, with the ability to work effectively with healthcare clients, senior leadership, supervisors, and frontline employees. Implementation and Change Management: Experience supporting new client implementations, operational launches, workflow changes, or go-live activities is advantageous. Multi-Environment Experience: Experience across hospitals, physician offices, central scheduling, business process outsourcing (BPO), or contact center operations is preferred, particularly when supporting multiple clients or service lines. Language Skills: Fluency in spoken and written Spanish and English is preferred but not required. Candidates who indicate Spanish fluency will complete a language proficiency assessment during the hiring process. Remote Work Readiness: Ability to work independently with limited day-to-day supervision, manage competing priorities, and maintain productivity in a fully remote environment. Communication and Professionalism: Clear, professional communication skills when interacting with patients, providers, colleagues, and client partners across virtual meetings, telephone calls, and written correspondence.
