Full job description

This position is listed on behalf of a partner company, which manages all applications and next steps. Our partner is looking for a Senior Systems Administrator & Architect based in the United States. We are seeking a hands-on systems professional to design, administer, and optimize enterprise applications that support business operations across a global organization. This role combines systems architecture, business process analysis, information management, and technical support to ensure that platforms work seamlessly together. You will take ownership of core business systems, including Salesforce and enterprise collaboration tools, while translating stakeholder needs into practical, scalable technology solutions. Working closely with internal teams, a managed service provider, and external technical partners, you will improve workflows, strengthen data quality, and enhance system usability. You will also help shape information architecture, documentation, automation, and user training across a distributed workforce. This is an opportunity to make a meaningful impact in a collaborative, mission-driven environment that values adaptability, inclusion, and continuous improvement.

Business process analysis and documentation: Collaborate with stakeholders to understand existing workflows, identify inefficiencies, gather requirements, and translate business needs into functional system designs. Maintain clear process documentation, technical specifications, and user guides. Technology implementation and change management: Manage the technology change lifecycle, including requirements gathering, configuration, testing, deployment, rollout, and user training. Information architecture and knowledge management: Conduct user interviews, stakeholder workshops, usability testing, and information-sorting exercises to understand how people search for and organize information. Information structure and user experience: Develop information architecture blueprints, flowcharts, site maps, low-fidelity wireframes, and interactive mockups. Establish naming conventions, metadata, and categorization structures that improve navigation and information retrieval. Systems administration: Configure and maintain Salesforce and enterprise productivity platforms, including Google Workspace and Microsoft 365, ensuring systems meet operational requirements. Access management and security: Manage user accounts, roles, permissions, and platform security settings to support appropriate access and secure system usage. Workflow automation and integrations: Build and maintain workflows, validation rules, and automation. Support integrations and data flows between systems, coordinating with vendors and technical partners when needed. System monitoring and continuous improvement: Work with the managed service provider to monitor system health, troubleshoot issues, coordinate incident resolution, and assess new tools, features, and software releases. Data management and reporting: Maintain data quality through imports, exports, cleanup, and governance practices. Develop reports and dashboards that inform operational planning and leadership decisions. User support and training: Act as a trusted resource for system questions, provide remote training, explain technical concepts in accessible language, and help users adopt technology effectively. IT operations and asset management: Provide additional support during periods of increased demand, including hardware and software management, ticket and incident handling, account security, connectivity issues, onboarding and offboarding, and asset inventory management. Cross-functional collaboration: Partner with internal stakeholders, consultants, and technical service providers to align technology solutions with organizational objectives and evolving business needs. Requirements Enterprise systems experience: At least 3–5 years of experience administering, configuring, or supporting multiple enterprise business systems, such as CRM, ERP, HRIS, Salesforce, Google Workspace, Microsoft 365, or comparable SaaS platforms. Systems configuration and automation: Hands-on experience configuring workflows, automations, permissions, validation logic, and user access models. Business analysis and solution design: Demonstrated ability to gather stakeholder requirements and translate them into practical system designs and technology solutions. Process mapping and documentation: Strong skills in mapping business processes, documenting system functionality, creating user guides, and communicating implementation plans. Data management: Experience working with data imports and exports, data cleansing, governance, and basic reporting. User support and training: Experience supporting users across multiple technology platforms, delivering remote training, and helping colleagues adopt new systems. Communication and presentation: Excellent written and verbal communication skills, including the ability to explain complex technical topics in straightforward, accessible language and present information clearly to diverse audiences. Customer-focused approach: Patience, empathy, and a supportive demeanor when assisting users with varying levels of technical knowledge, including those experiencing frustration or difficulty. Organization and ownership: Strong time management, attention to detail, and the ability to independently manage projects and responsibilities from initial requirements through implementation and ongoing support. Adaptability: Comfort working across multiple systems and shifting priorities in a dynamic environment, while balancing competing deadlines and stakeholder needs. Preferred qualifications: Experience administering Salesforce; a Salesforce Administrator certification is a strong advantage. Experience administering Google Workspace. Experience with Microsoft 365 administration, including Teams, Exchange, SharePoint, and Entra ID. Familiarity with Power Automate, Salesforce Flow, or other low-code automation platforms. Exposure to integrations, APIs, and middleware tools such as Zapier, Workato, or MuleSoft. Familiarity with SQL, scripting, or other tools that support system administration and data management. Experience with process mapping and visualization tools such as Lucidchart, Microsoft Visio, or similar applications. Experience in nonprofit administration or mission-driven organizations. Ability to work effectively with colleagues across international locations and time zones. Availability to work and attend meetings aligned with US Eastern Time and travel to New York City for meetings as needed. Benefits Competitive compensation: For US-based employees, the advertised annual salary range is $110,331–$121,364, depending on skills, experience, and local market benchmarks. Comprehensive benefits package: Full-time US employees are eligible for a comprehensive benefits package. Specific coverage and plan details are provided during the hiring process. Location-based benefits: Compensation and benefits are adjusted to the hiring location. Employees hired outside the United States are employed through an Employer of Record (EOR), with benefits aligned with standard practices in their country of employment. Remote-first flexibility: Remote work is available for candidates based in the United States or Western and Central European time zones. Hybrid work option: Employees within commuting distance of the New York City office may choose to work from the office and collaborate in person. Flexible work arrangements: A flexible working environment supports effective collaboration while accommodating different schedules and working styles. Collaborative international environment: Work with colleagues across countries and time zones in an organization focused on meaningful global impact. Professional development through meaningful work: Opportunities to strengthen expertise in enterprise systems, information architecture, automation, data governance, and cross-functional technology delivery.
