Full job description

This position is listed on behalf of a partner company, which manages all applications and next steps. Our partner is looking for a Travel Coordinator based in the United States. We are seeking an organized and detail-oriented Travel Coordinator to manage travel logistics for an anticipated international development program. In this remote role, you will coordinate domestic and international travel for program staff, consultants, contracted advisors, and other authorized travelers, ensuring every trip is properly planned, approved, and documented. Acting as the primary point of contact between travelers, internal teams, and an external travel management provider, you will help ensure efficient, cost-conscious, and compliant travel arrangements. You will oversee booking requests, itinerary updates, approvals, documentation, and issue resolution while supporting critical program activities and operational priorities. You will also collaborate with finance, human resources, and program leadership to maintain accurate records and facilitate reporting and audit readiness. This opportunity is ideal for a proactive professional who thrives in a fast-paced, multicultural environment and enjoys making complex travel arrangements run smoothly.

Coordinate domestic and international travel arrangements for program staff, contracted advisors, consultants, and other authorized travelers, including flights, accommodations, ground transportation, and related logistical requirements. Serve as the primary day-to-day liaison with the designated travel management provider, submitting requests, confirming itineraries, communicating traveler preferences, and following up on bookings, changes, cancellations, and urgent travel needs. Review travel requests for completeness, appropriate approvals, funding information, visa or clearance considerations, and compliance with applicable program, client, donor, and organizational policies. Collaborate with program leadership, functional managers, Finance, Human Resources, and technical teams to ensure travel arrangements support approved assignments, deployments, meetings, workshops, conferences, and other program activities. Maintain accurate and up-to-date travel trackers, itineraries, approval records, traveler profiles, booking confirmations, expense follow-up information, and supporting documentation within designated project management systems. Monitor travel schedules and deadlines, communicate itinerary changes promptly, and proactively resolve disruptions or traveler concerns in coordination with the travel provider and program leadership. Support travel-related reporting, financial reconciliation, invoice reviews, and audit preparation by ensuring records are complete, accurate, properly documented, and aligned with program requirements. Assist with emergency travel and logistics arrangements, including emergency evacuations, medical evacuations, and other urgent situations requiring coordinated support. Help strengthen travel coordination procedures and maintain effective communication among travelers, vendors, and internal stakeholders to support efficient program operations. Requirements: Bachelor's degree in Business Administration, International Development, Logistics, Travel and Tourism, Hospitality Management, Public Administration, or a related field. At least 5 years of progressively responsible experience in travel coordination, logistics, operations, administration, or a related support function. Experience supporting U.S. government-funded or other donor-funded initiatives, international development programs, or global operations is strongly preferred. Demonstrated experience coordinating domestic and international travel, including flights, hotels, ground transportation, itinerary modifications, travel approvals, traveler communications, and travel documentation. Experience working with travel agencies, travel management companies, accommodation providers, transportation vendors, or similar service providers to deliver responsive, timely, and cost-conscious travel support. Familiarity with travel policies, expense documentation, per diem concepts, cost reasonableness, approval workflows, and audit-ready recordkeeping. Strong organizational and time-management skills, with the ability to coordinate multiple travelers, destinations, deadlines, approvals, and unexpected changes simultaneously. Proficiency in Microsoft Office and SharePoint, along with experience using travel tracking tools, project management platforms, or collaboration systems. Familiarity with SMS, CRM, or comparable tracking systems is an advantage. Excellent written and verbal English communication skills, including the ability to coordinate professionally with culturally diverse colleagues, consultants, vendors, and client stakeholders. Strong attention to detail, sound judgment, problem-solving abilities, and a proactive approach to resolving logistical challenges. Ability to work independently in a remote environment while collaborating effectively with cross-functional teams. Must be legally authorized to work in the United States. Visa sponsorship is not available. Benefits: Remote work arrangement: Opportunity to work remotely within the United States. Full-time employment: Full-time position supporting an anticipated development program. International program exposure: Opportunity to contribute to travel operations supporting global development activities and diverse teams. Cross-functional collaboration: Work closely with program leadership, finance, human resources, technical teams, and external travel providers. Operational impact: Help ensure safe, efficient, compliant, and well-documented travel that enables successful program delivery.
