Your Mission

• You take ownership of caretaking & feel-good management and actively help shape our company culture
• You are the first point of contact for our clients, guests and employees and make sure everyone feels welcome
• You take responsibility for office management and help ensure that everything runs smoothly in our day-to-day agency life
• You coordinate service providers, orders, incoming and outgoing mail, as well as general office administration
• You take care of scheduling and travel coordination and support the team with organizational tasks on a day-to-day basis
• You prepare meeting rooms, including technical equipment, and take care of catering and hospitality for clients, guests and employees
• You support pre-accounting / bookkeeping preparation and work closely with the relevant contacts
• You manage the administration and organization of contracts, licenses and IT equipment
• You plan and organize events, team activities and agency gatherings and make sure they run smoothly
• You proactively identify what’s needed and take care of it before anyone has to ask
• You bring your own ideas to the table and look for ways to make our everyday work, culture and collaboration even better

Qualifications And Requirements

• You’re a true people person and genuinely enjoy taking care of others
• You enjoy keeping organizational threads together and making sure everything runs smoothly behind the scenes
• Ideally, you have some professional experience in office management, administration, executive assistance or bookkeeping, for example through a apprenticeship, internship or similar experience
• You have good knowledge of Google Workspace / G Suite
• You work independently, reliably and in a structured way, with a high level of trustworthiness and attention to detail
• You’re a fast learner, highly motivated and not afraid to roll up your sleeves and get things done
• You’re empathetic, communicative and a strong team player
• You’re excited about working in a creative, dynamic environment and taking ownership
• Courage, initiative and high personal standards come naturally to you
• A valid Class B driving license is required
• You are fluent in both German and English
• You are based in Berlin
