Office Administrator cum Personal Assistant

Location: Jebel Ali, Dubai, UAE

Regional Responsibility: Middle East and Africa

Reporting to : VP Commercial Excellence EMEA & Middle East Africa

Role Purpose

This role is responsible for ensuring the smooth day-to-day operation of the regional office while providing executive support to the General Manager. Approximately 60% of the role focuses on office administration, facilities, procurement and stakeholder management, while 40% supports executive administration.

Key Responsibilities

· Manage daily office operations, facilities, maintenance and workplace services.

· Coordinate office refurbishment, office moves and workplace improvement projects.

· Manage vendor relationships, service contracts and external suppliers.

· Process Purchase Requisitions (PRs) and Purchase Orders (POs) using SAP Ariba and coordinate with Procurement and Finance.

· Liaise with hotels, travel agencies, landlords, building management, contractors and other external stakeholders.

· Coordinate regional travel, accommodation, logistics and event arrangements.

· Manage office budgets, supplies and administrative records.

· Provide executive support to the General Manager including calendar management, travel coordination, meeting arrangements and follow-up on action items.

· Prepare presentations, business correspondence and executive reports while maintaining confidentiality.

Qualifications & Experience

• Bachelor's degree in Business Administration or a related discipline.

• Minimum 5 years' experience in Executive Assistant, Office Administration or Facilities Management roles.

• Hands-on experience with SAP Ariba procurement processes.

• Experience managing office operations, vendors and facilities.

• Strong experience coordinating with hotels, travel providers and external stakeholders.

• Excellent organisational, communication and stakeholder management skills.

• Proficient in Microsoft Office (Excel, Word, PowerPoint and Outlook).

• Ability to manage multiple priorities while maintaining a high level of professionalism and confidentiality.
