This role is based in our Dubai office and supports both our existing Dubai entity and our newly established Abu Dhabi entity. It is at the center of our UAE operations, combining corporate secretarial work and compliance oversight with hands-on executive support to senior leadership. We are looking for a highly organized, proactive, and experienced Office Manager & Executive Assistant to the executive team (CEO, COO, CLO) who can become the operational backbone of the office.

Location: Dubai, UAE (with periodic travel to Abu Dhabi)

Key Responsibilities

• Manage corporate secretarial work across both the Dubai and Abu Dhabi entities, including maintaining company records, registers, licenses, and filings, and tracking renewal deadlines for both jurisdictions.
• Ensure our companies, offices, employees, and corporate records remain organized, compliant, and up to date, liaising with free zone authorities, government bodies, PRO/visa service providers, banks, and external legal or accounting advisors as needed.
• Act as the point of contact for the Abu Dhabi entity setup and its ongoing administration.
• Provide day-to-day executive support to the executive team, including calendar and inbox management, meeting coordination, travel arrangements, expense reporting, and correspondence.
• Coordinate operational and administrative matters across the office as they arise, from vendor and facilities management to supplies, office events, and general troubleshooting.
• Support onboarding and offboarding of employees in both entities, maintaining accurate and compliant HR and employment documentation.
• Maintain confidentiality and exercise sound judgment when handling sensitive corporate, financial, and personnel information.
• Anticipate needs and proactively flag compliance deadlines, renewals, or administrative gaps before they become issues.

What We Are Looking For

Required

• 5+ years of experience as an Office Manager, Executive Assistant, Personal Assistant, or in a similar corporate administration role, ideally supporting senior executives.
• Hands-on experience with UAE corporate administration and compliance, for example trade licenses, visas, free zone or mainland company documentation and renewals.
• Exceptional organizational and multitasking skills, with strong attention to detail and follow-through.
• A proactive, self-starting approach, comfortable identifying priorities and taking ownership without close supervision.
• Excellent written and verbal English communication skills.
• High level of discretion and professionalism when handling confidential information.
• Based in Dubai, UAE, with willingness and flexibility to travel periodically between the Dubai and Abu Dhabi offices.

Nice to Have

• Prior experience in a startup, tech, or crypto/fintech environment.
• Experience supporting the setup or administration of a new corporate entity in the UAE.
• Familiarity with HR information systems (such as BambooHR) and standard office/productivity tools (Google Workspace, Slack, etc.).
• Additional language skills beyond English.
