This position is listed on behalf of a partner company, who manages all applications and next steps. Our partner is looking for a Virtual Client Support Receptionist based in the United States. This fully remote role is an opportunity to become the welcoming first point of contact for clients and callers. You will manage incoming and outgoing calls while ensuring every interaction is warm, clear, and professional. The position supports a busy professional team and requires excellent organization, active listening, and reliable follow-through. You will help coordinate appointments, gather initial client information, and connect callers with the right teams. The role combines client service, communication, scheduling, and administrative support in a fast-paced environment. You will work closely with a distributed team while using a range of communication, scheduling, and client-management platforms. This is a strong fit for someone seeking a stable, long-term remote career centered on exceptional client support.

Serve as the primary point of contact for incoming callers, answering promptly and maintaining a warm, professional telephone presence. Transfer calls to the appropriate team member or department and direct prospective clients to the intake team when appropriate. Return calls and follow up with existing clients and referral sources in a timely and professional manner. Gather relevant initial information from callers and ensure information is communicated accurately to the appropriate team. Schedule appointments and maintain accurate calendar information using digital scheduling tools. Manage multiple incoming calls during high-volume periods while remaining calm, organized, and attentive. Use Lawmatics and PracticePanther to support client-related and call-related workflows. Use RingCentral for telephone communications and Google email, Calendar, chat, and video tools for daily collaboration. Use Microsoft Office and Fireflies as required for assigned responsibilities. Maintain dependable attendance and remain consistently available throughout scheduled working hours. Follow established procedures and contribute to a positive, reliable client experience through thoughtful communication and timely follow-up. Requirements At least 1 year of experience in a client-facing position, such as customer service, reception, sales, or a related field. Advanced or native-level English proficiency, both written and spoken, with clear, confident verbal communication. Bilingual verbal communication skills. A warm, friendly, empathetic, and professional telephone manner. Strong active-listening skills and the ability to understand conversational context and adapt communication appropriately. Demonstrated ability to manage multiple calls and competing priorities without becoming overwhelmed. Strong scheduling, calendar coordination, information-gathering, and follow-up skills. Excellent client-service orientation and professional call-handling and transfer abilities. Reliable attendance, punctuality, and consistent availability during scheduled working hours. Genuine interest in building a long-term career in receptionist and client-support work. Comfortable working with digital communication and productivity platforms, including Google Workspace, Microsoft Office, RingCentral, and client-management systems. Ability to remain composed, organized, and professional in both quiet and high-volume periods.
