Withdrawal Deadlines:

Participants who wish to withdraw from the program must submit a written notification to the Beahrs Environmental Leadership Program (beahrselp@berkeley.edu). Refunds are processed based on the date the written notice is received.

The deadline for participants to withdraw from the 2027 Beahrs Environmental Leadership Program are as follows:

Withdrawal by 3/31/2027: 93% refund

Withdrawal between 4/1/2027 and 6/14/2027: 25% refund

Withdrawal from 6/15/2027 onward: no refund

Administrative and transaction fees are nonrefundable.

Scholarships

Scholarships are nonrefundable and have no cash value. For participants receiving a ELP partial scholarship, any applicable refund is calculated based on the amount paid out of pocket after the scholarship is applied.

Visas

In the case of a documented visa denial for a participant who has completed the online portion of the program (June 15-16, 2027) but is unable to travel to the United States for the in-person portion of the program, the Beahrs Environmental Leadership Program will provide a partial refund, taking into account costs already incurred by the program. Visa denials that occur before the online portion of the program are subject to the standard withdrawal deadlines above.

Travel And External Costs

The program is not responsible for and cannot reimburse any other fees, including visa- and travel-related expenses (such as airfare). These are external factors outside of the program's control.

Cancellation Policy

UC Berkeley does not anticipate the cancellation or modification of any programs. However, the university reserves the right to cancel, postpone, suspend, or substantially alter the Beahrs Environmental Leadership Program due to extenuating circumstances beyond our control. These include, but are not limited to:

• Extenuating events (natural disasters, acts of terrorism, campus closures, border closures, pandemics, sociopolitical conflicts, or major disruptions to travel)
• Power outages or utility failures
• Low program enrollment

Note on Curriculum: The instructor lineup and daily schedule are subject to change at any time due to speaker availability, illness, or circumstances beyond the University's control.

Should a major disruption force UC Berkeley to cancel or alter the program format, refunds of course fees will be issued based on when the Beahrs Environmental Leadership Program makes the official announcement:

1. Program Cancellation Before the Program Begins If UC Berkeley cancels the program before it begins, participants will receive a 100% refund of the program fee paid, less applicable nonrefundable transaction fees.

2. Program Shifts to 100% Virtual Before April 1, 2027 If the program shifts to a 100% virtual format before April 1, 2027, the entire program will run online. Participants will receive a 52% refund ($4,733.99) of the $9,100 program fee.

3. Program Shifts to 100% Virtual Between April 1 and June 29, 2027 If an emergency occurs between April 1 and June 29, 2027, UC Berkeley reserves the right to transition the program to a 100% virtual format.

Virtual Pivot: The program will continue entirely online. Participants will receive a 25% refund ($2,275) of the $9,100 program fee to reflect the cancellation of on-ground campus logistics, including housing, dining, and other in-person program activities.

4. Program Modification After the In-Person Portion Begins Once the on-campus portion of the program begins on July 1, 2027, UC Berkeley reserves the right to modify, suspend, or cancel portions of the program if circumstances require. Any refund will be determined by the University based on the circumstances and costs incurred.

Travel & Third-Party Expenses The University is not responsible for, and cannot reimburse, any external fees. This includes visa application fees, airfare, independent lodging, or penalty fees caused by travel disruptions or program modifications.

Travel Insurance: We strongly encourage all participants to purchase comprehensive travel insurance to protect against unexpected disruptions, including medical emergencies, travel interruptions, or visa delays.

Payment Methods And Refund Policy

We have several payment options, each of which come with their own specific surcharges to help cover our costs for processing payments. These are specific to certain payment methods and are charged by our financial institutions, not by the Beahrs ELP.

If you choose to pay via credit card, international payments may be made through Flywire. There may be credit card fees and other associated transaction fees charged by our financial institutions.

We have a Stova payment portal for domestic credit card payments, but this method is reserved only for extreme cases, and is not available generally. If this method is used, the following fees charged by our financial institutions may apply:

• BofA credit card fee: 2 - 3.5% per transaction
• International card payments: 4.25%
• Stova's Registration fee: $2.30 per registration
• CyberSource fees (CC Fee & Fraud Management fee) : $0.09 + $0.06 per transaction

If you pay via credit card and you are eligible to receive a refund, you will receive a refund back to your credit card, again through whichever payment website you used. There will be a 9% campus administrative fee deducted from the amount refunded, in addition to any transaction fees charged by our financial institutions.

Fees And Refunds Of Wire Transfer Payments:

If you choose to pay via wire transfer, there will be no additional fees added to your payment.

If you pay via wire transfer and you are eligible to receive a refund, you will receive a refund back to your bank account through a wire transfer. There is a $25 wire transfer fee which will be deducted from the refunded amount, in addition to a 9% campus administrative fee.

Fees And Refunds Of Checks

If you choose to pay via mailing us a paper check and you are eligible to receive a refund, you will receive a refund check mailed to you. If we have not yet cashed the check on our end, we will attempt to prevent it from being cashed, meaning you may not have to receive a refund check. If we have already cashed the check or are unable to prevent it from being cashed, your refund check will have a 9% campus administrative fee deducted from the amount refunded.

Fees And Refunds Of Sponsored Gifts

If your sponsoring organization or workplace chooses to pay via a gift made to the university, we will not be able to return those funds in the event of withdrawal from the program.
